About the Role
We are seeking a highly organized, proactive, and detail-oriented Remote Executive Assistant to support a fast-growing consulting and training company. This role works directly with leadership to keep projects, communications, and operations running smoothly.
The ideal candidate is a problem solver, strong communicator, and master of organization who thrives in a fast-paced, entrepreneurial environment. You must be comfortable juggling multiple priorities, managing confidential information, and proactively anticipating needs before they arise.
This is not a basic admin role — this position plays a critical role in supporting business operations, client experience, and executive productivity.
Hourly rate: $10-$12/hr
Responsibilities
Executive Support
Manage executive calendar, scheduling, and meeting coordination
Organize travel logistics and itineraries
Prepare meeting agendas, notes, and follow-up action items
Screen and prioritize emails and communications
Help ensure leadership stays focused on top priorities
Project & Task Management
Track projects and deadlines across multiple initiatives
Maintain organized systems for tasks, files, and documentation
Follow up with team members to ensure deliverables stay on track
Assist with implementation of new systems and processes
Communication & Coordination
Serve as a central point of coordination between leadership, team members, and clients
Draft and proofread emails, documents, and presentations
Help maintain communication flow across Slack, Zoom, and project platforms
Administrative Operations
Maintain file organization within Google Drive
Assist with CRM updates and client record management
Coordinate meetings, workshops, and events
Assist with light research and data gathering
Process Improvement
Identify inefficiencies and recommend improvements to workflows
Help build simple systems and documentation that keep operations organized
Requirements
Ability to work during Central Time Zone business hours
Clear and professional English communication
High level of written communication
Ability to summarize and prioritize information
Extremely organized with strong attention to detail
Ability to multitask and manage shifting priorities
Tech-savvy and comfortable learning new platforms quickly
Experience using tools such as:
Google Workspace (Docs, Sheets, Drive, Calendar)
Slack
Zoom
CRM systems (Zoho or similar)
Community platforms (Circle or similar)
Highly trustworthy with confidential information
Strong time management and self-direction in a remote environment
Strongly Preferred
Previous experience supporting an executive or founder
Experience working with consulting, coaching, or service-based businesses
Familiarity with CRM systems and pipeline tracking
Ability to summarize meetings and track action items
Experience coordinating events, webinars, or online communities
